Event Access and Eligibility

  • Approved Vendors: Only vendors pre-approved by Cola Chic's Boutique may access event spaces. Approval is based on brand alignment, product quality, and availability to meet concierge-level service standards.

  • Application: Vendors must submit a vendor application at least 18 days prior to the event date. Late applications may be considered at management discretion.

  • Insurance & Compliance: Vendors must comply with all local health, safety, and permitting requirements relevant to their services or products.

Scheduling & Arrival

  • Load-In Window: Vendors will be given a specific load-in window and must adhere to the assigned time.

  • Setup Time: Standard setup time is 60 minutes unless otherwise specified. Vendors should arrive prepared with all necessary equipment, fixtures, and signage.

  • Breakdown & Load-Out: Breakdown must begin no earlier than the event end time and be completed within the designated load-out window.

Space, Amenities & Restrictions

  • Assigned Spaces: Event floor plans and booth assignments will be distributed 5-7 days prior to the event. Cola Chic's Boutique reserves the right to adjust placements for operational needs.

  • Power & Wi-Fi: Basic electrical access will be provided where indicated.

  • Signage & Presentation: All vendor signage and displays must align with Cola Chic’s aesthetic standards—clean, sophisticated, and feminine chic. Any signage deemed inconsistent with brand tone may be modified or removed.

  • Product Restrictions: Cola Chic's Boutique reserves exclusivity for certain categories where applicable. Competing vendors may not be permitted in the same event without prior approval.

Staffing & Conduct

  • Professionalism: Vendor staff must present with professional attire and demeanor consistent with Cola Chic’s concierge experience.

  • Customer Interactions: Vendors are expected to provide courteous, concierge-level service and to coordinate closely with Cola Chic staff for customer referrals, returns, or special requests.

Sales, Payments & Fees

  • Transaction Processing: Vendors are responsible for their own point-of-sale systems unless otherwise arranged. All transactions must comply with applicable tax laws.

  • Fees & Commissions: Any vendor fees, commissions, or revenue-share arrangements will be included in the vendor agreement. Fee schedules and payment deadlines will be communicated upon approval.

  • Refunds & Returns: Vendors must clearly communicate their return and refund policies to customers and to Cola Chic’s staff prior to the event.

Promotions & Marketing

  • Co-Branding: Collaborative marketing opportunities is encouraged. Use of Cola Chic’s logo in vendor materials requires written permission.

  • Social Media: Vendors are encouraged to promote their participation on social channels. Event hashtags and approved assets will be provided. All promotional content should reflect Cola Chic’s brand standards.

Health & Safety

  • Protocols: Vendors must adhere to current health and safety protocols in effect on the event date, including any specific requirements related to food handling, hygiene, or public safety.

  • Incident Reporting: Any incidents, damages, or customer complaints must be reported immediately to on-site Cola Chic management.

Cancellation & Changes

  • Event Cancellation: Cola Chic’s Boutique will notify vendors of event cancellations or major changes as soon as possible. Refunds of vendor fees will be processed according to the vendor agreement.

  • Vendor Cancellation: Vendors who cancel within a specified timeframe may forfeit fees. Cancellation policies will be detailed in the vendor agreement.
